Executive Administrative Assistant

The Advocates for Human Rights:  The Advocates is a volunteer based, non-governmental, non-profit 501(c)(3) organization dedicated to the promotion and protection of internationally recognized human rights. The Advocates’ programming focuses on women’s rights, including freedom from violence; migrant and refugee rights, including both advocacy and legal services; peace-building in post-conflict societies; due process and freedom from persecution; and economic and social rights. The Advocates works to bring about systems change, reinforce accountability mechanisms, raise awareness, foster tolerance, and help individuals more fully realize their inherent rights.

Primary Duties and Responsibilities

Assist Executive Director with:

  • correspondence
  • scheduling
  • meeting arrangements
  • travel arrangements
  • board materials
  • grant writing
  • reports
  • special projects such as strategic planning

Assist the Administrative Director with:

  • day to day financial responsibilities, including managing deposits, assisting with payables
  • monthly financial reports
  • grant budgets and financial reports
  • IT/office equipment needs and trouble-shooting:
    -  act as liaison with IT support firm
    -  assist staff with computer, server, copier/printer, and telephone needs
    -  provide recommendations on technology needs, contracts, subscriptions, and policies
  • annual audit
  • website updates in coordination with the Communications Director
  • human resources, including benefits review and administration
  • supplies monitoring, ordering, and general office management
  • Human Rights Awards Dinner registrations, event registrations, trouble-shooting, reporting
  • Volunteer receptionist scheduling and oversight

Other duties and responsibilities as assigned.

Qualifications: a B.A. or equivalent degree; strong written and verbal communication skills; ability to establish priorities and manage projects effectively; strong computer skills, including proficiency with Microsoft Office applications, Adobe Creative Suite, and accounting software - QuickBooks preferred; careful attention to detail and willingness to do what it takes to get the job done right; ability to build strong relationships with The Advocates’ diverse staff and community; and an interest in human rights, social justice, and building the local and international human rights movement.

Compensation:  Compensation is commensurate with experience and within the range of similar-sized organizations.  Our generous benefit package includes vacation, medical, dental, long term disability/AD+D/life insurance, and pre-tax retirement plan. Benefits vary depending upon whether the position is full-time or part-time.
