The mission of The Advocates for Human Rights is to implement international human rights standards to promote civil society and reinforce the rule of law. By involving volunteers in research, education, and advocacy, we build broad constituencies in the United States and select global communities.


Position Summary:

The Administrative Assistant provides support to The Advocates for Human Rights, facilitating the success of the mission and administrative goals of the organization. Working closely with the Administrative Team, they help ensure effective organization-wide operations.



This position is not eligible for remote work.


Primary Duties and Responsibilities:


Work with the Executive Director to:

· Draft emails, letters, and other correspondence

· Assist with calendar management, including scheduling meetings and proactively resolving conflicts as they arise

· Handle meeting arrangements

· Assist with travel arrangements

· Provide coordination and support for The Advocates' Board of Directors, including:

    o Preparing materials, coordinating logistics, and taking minutes for bimonthly meetings

    o Supporting ongoing and emerging needs related to committees, record keeping, and communication with board members


Work with the Administrative Team to:

· Provide general administrative support for The Advocates' office operations

· Provide support for office meetings and events, including ordering food, room setup, and technology assistance

· Assist with managing deposits · Prepare and send invoices for contracts and pledges

· Assist with day-to-day finance support

· Help manage IT/office equipment needs and troubleshooting

    o assist staff with computer, SharePoint, copier/printer, and telephone needs

    o act as liaison with IT support firm

    o provide recommendations on technology needs, contracts, subscriptions, and policies


· Help manage SharePoint structure, permissions, and users

· Develop how-to resources for office processes and technology

· Assist with job postings and applicant correspondence, tracking, and interview coordination as part of the hiring process

· Manage volunteer receptionist scheduling and oversight, and step in as a backup receptionist when no volunteers are available

· Collaborate with Administrative team to develop new, and improve upon, existing administrative systems and processes

· Oversee supply monitoring and ordering

· Other duties and responsibilities as assigned.


Qualifications:

· Education and/or experience in non-profit administration

· Strong written and verbal communication skills

· Ability to establish priorities and manage projects effectively

· Ability to proactively anticipate and identify emerging needs

· Strong problem-solving skills and ability to seek out answers that are not readily available

· Strong computer skills, including proficiency with SharePoint, Microsoft Office applications

· Careful attention to detail and willingness to do what it takes to get the job done right

· Ability to build strong relationships with The Advocates' diverse staff and community

· An interest in human rights, social justice, and building the local and international human rights movement.



Compensation:

Compensation is commensurate with experience and is consistent with similarly sized nonprofits in the Twin Cities Area. Our current, generous benefit package includes vacation, medical, dental, long-term disability/AD+D/life insurance, and pre-tax retirement plan.
